Reliable Field Based Reporting

Role-Based Security Manager

The Role-Based Security Manager assigns every user to a role, and every role has associated security permissions. Each user is assigned to one or more roles (i.e., Patrol Officer, District One Supervisor, District Two Supervisor, District Commander, Records Manager, Detective, Detective Supervisor, etc.). The actual names of roles are completely defined by your agency.

A customized “Hierarchy Chart” can be maintained by your system administrator to manage roles. Workflows can be modified to “Delegate” work to another role (i.e., District One Supervisor goes on vacation and his work needs to be delegated to the “next in command”). This gives your agency significant flexibility in managing work processes during personnel absences and temporary assignments.

Customized Electronic Forms

InterAct’s Electronic Forms approach to Field Reporting (discussed in the previous section) enables your agency to replicate your paper-based forms in an electronic format. This significantly reduces the user’s learning curve, since they are already familiar with the format. Furthermore, the forms can be designed with validation logic, including drop down code value fields and mandatory fields.

A user can access the “Workflow View” window to view a summary of their workflow Items. The status of a form can be viewed on a routing diagram to assess its current status within the defined workflow path for that form type.

Sophisticated Workflow Manager

The real power of our field based reporting solution is its ability to tailor the Workflow Manager to meet the business processes of your agency. Each form type can have its own workflow process definition. For example, you may want to define one approval process for Incident/Offense Reports (i.e., Officer to Supervisor to RMS), and a separate approval process for Accident Reports(Officer to Supervisor to Traffic Division to RMS).

The Field Reporting Workflow Manager also enables users to view the current status of their workflow items. This eliminates the problem of “lost reports” experienced by many agencies.

RMS Importer

Once a form has completed its workflow path, it is imported into the RMS. The data is stored in the appropriate RMS tables and a copy of the report is attached to the associated RMS record in PDF format.
